These terms govern services provided by NEXA EVENT L.L.C / نيكسا للحفلات ش.ذ.م.م (trade licence No. 1342757, valid to 12/04/2027), registered address Office 2F-37, Nooraniyah Bldg, Hor Al Anz, Dubai, UAE, and its Abu Dhabi branch NEXA EVENT L.L.C - BRANCH OF ABU DHABI (Licence No. CN-5478941, valid to 20/08/2027), registered address Office 137, Al Khubaira Building, Ras Al Qit'ah St, Al Bateen, Abu Dhabi 20028, UAE ("Nexa Event", "we"). Contact: reach@nexaevent.com. "Client" means the party confirming services, whether for itself or as organizer or agency for an end client.
Nexa Event provides event services across the UAE — event registration, production and staffing, equipment rentals, branding and printing, and technical support — together with permits and approvals. Event permits in Dubai, Abu Dhabi and Ras Al Khaimah are applied under Nexa Event's own trade licences; for certain permit categories, additional requirements apply — we confirm exactly what is needed for your event.
Confirmation of a quotation constitutes acceptance of these terms. Full payment is required in advance upon confirmation, before initiation. Payments are non-refundable once work has commenced, including permit applications, supplier engagement, or administrative processing. Out-of-scope or additional services are quoted and billed separately.
Applications are prepared and facilitated with the competent authority — the Department of Economy and Tourism (DET, formerly DTCM), Dubai Municipality, DCT Abu Dhabi, Dubai Sports Council, RAKTDA, and other authorities as applicable. Approval rests solely with the authority; our review of submitted documents reduces the risk of rejection but does not guarantee approval. Processing begins on receipt of complete documents; timelines rest with the authority and are outside Nexa Event's control. Authority-mandated additional information or client-requested changes may incur charges, communicated before processing. Government fees are for the client's account and are communicated at application time.
Permit amendments (performers, speakers, dates, and similar) require at least three (3) working days before the event, excluding submission day. Amendment fees depend on the authority's charges and administration and are communicated before each amendment is processed.
Build-up and venue permissions (including DCT venue requirements in Abu Dhabi and Dubai Municipality where applicable) are handled approvals-led by Nexa Event; construction and fabrication are executed by third-party contractors under their own licences. Venue and authority technical requirements designated to the organizer remain the client's to meet.
Event venues in Abu Dhabi are registered and licensed through DCT Abu Dhabi's Event Licensing System (TAMM), and registered venues are subject to the authority's published requirements and inspections. Rental bookings are required at least seven (7) days ahead, subject to availability. Equipment remains Nexa Event's property. Loss or damage beyond normal wear is billed at repair or replacement cost; late returns are charged per the quotation.
Customized items (badges, T-shirts, souvenirs, printed collateral) require at least ten (10) working days from final design approval. The client approves final artwork before production; client-supplied materials are warranted by the client as rights-cleared. Nexa Event's deliverable designs remain Nexa Event's intellectual property until full payment, upon which the agreed usage rights transfer. Portfolio use of delivered work follows Section 10.
The client provides accurate and timely information and documents, ensures content is lawful, and complies with permit conditions. Activities not quoted or approved are prohibited without prior written consent.
Unless expressly stated otherwise in writing, the client permits Nexa Event to use the client's name, logo, and event photos and videos on Nexa Event's website and platforms to showcase completed work. Where the client acts as agency or organizer for an end client, this permission extends to end-client and event materials the client authorizes, and the client warrants it holds all rights and consents for materials it authorizes. Withdrawal is honored prospectively on written notice.
If the client cancels before work has commenced: more than 14 days before the event — no cancellation charge beyond an administrative fee; 14–8 days before the event — 25% of the total invoice/LPO amount; under 8 days and over 48 hours — 50%; within 48 hours — 100%. Once work has commenced, Section 3 applies. Government fees, permit charges, and amounts already expended on the client's behalf are non-refundable in all cases.
Nexa Event is not liable for authority decisions, event modifications, government fees, or regulatory changes beyond its control. Fines or penalties arising from client misinformation or non-compliance are for the client's account. Nexa Event's aggregate liability is limited to the total amount paid under the engagement. Nothing in these terms excludes liability that cannot be excluded under UAE law.
Neither party is in breach for delays or failures caused by events beyond reasonable control (acts of God, natural disasters, epidemics, wars, government actions, or similar unforeseeable events). Such events absolve the affected party for their duration. Rescheduling due to force majeure is treated as a new engagement under new terms and costs.
These terms are governed by the laws of the United Arab Emirates. The parties first attempt good-faith resolution; unresolved disputes are subject to the jurisdiction of the courts of the United Arab Emirates.

Out-of-home advertising permits in Dubai, including temporary event branding on the right of way, are issued by Mada Media Company PrJSC under a concession from the Roads and Transport Authority (RTA) and Dubai Municipality. In this Annex, "the Authority" means Mada Media and, where applicable, the RTA and Dubai Municipality.
1. Application responsibilities — Nexa Event acts as facilitator to apply for out-of-home advertising permits on the client's behalf; the client provides all required documents accurately and on time; Nexa Event is not responsible for delays caused by incomplete or incorrect submissions.
2. Compliance — the client complies with all terms, conditions and regulations of the Authority; non-compliance may result in rejection, cancellation, removal of the advertisement, or fines imposed by the Authority, for which Nexa Event is not liable.
3. Documents — all documents must meet the Authority's specifications (format, clarity, authenticity); forgery or unauthorized documents are the client's sole responsibility and grounds for termination of the service.
4. Processing — processing times vary with the application's complexity and rest with the Authority; clients are encouraged to submit well in advance of the intended advertising start date.
5. Limitation of liability — Nexa Event acts as a third-party facilitator and is not liable for the Authority's decisions on approval, denial, suspension or removal; its liability is limited to facilitation of the application as agreed.
